# Source from Talent Pool

The Talent Pool gives you access to your entire candidate database in one place, regardless of which job they applied to. Use it to search and filter across all candidates, curate named lists, and add strong candidates directly into active job workflows for AI evaluation.

### How to access it

The Talent Pool is accessible from the main navigation via the **Talent Pool** icon. Unlike the Candidate Listing, it is not scoped to a single job, candidates here may have applied to multiple jobs, or none at all.

### Searching and filtering

**a. AI Smart Search**

The search bar at the top of the page lets you search using plain, everyday language, the same way it works in the Candidate Listing. Describe what you're looking for and Senseloaf surfaces matching candidates instantly.

**b. Filters**

The filter panel on the left gives you precise, criteria-based control over the candidate table. Available filters include Overall Grade, AI Matching, AI Prescreening, AI Interview, Industry Snapshot, Work History, Education, and Contact Info - the same filters available in the Candidate Listing.

The Talent Pool has one additional filter not available in the Candidate Listing — **Jobs Added for**. This toolbar dropdown lets you scope the candidate table to those who applied to one or more specific active job workflows.

* By default, all active jobs are included
* Uncheck individual jobs to exclude their candidates from the view
* A separate **Talent Pool Uploads** checkbox includes candidates added directly to the pool without a job application
* Each job in the dropdown shows a live candidate count
* Click **Reset** to restore all defaults, or **Apply** to commit your selection

Candidates from jobs in **Draft** stage are not included in the Talent Pool. For **Archived** jobs, you can exclude them from your view using the Open Jobs filter based on your preference.

### Managing columns

Click the columns icon on the left of the toolbar to open the **Manage Columns** modal. This lets you control which columns are visible and in what order.

* The **Candidate** column is always visible and always first, it cannot be hidden or reordered
* Check or uncheck any other column to show or hide it
* Drag column rows in the right panel to reorder them
* Click **Reset** to restore the default column layout, or **Apply** to save your configuration

**Default visible columns** include: Candidate, Contact, Applied, Added At, Jobs Added For, Company, Experience, Location, Skills, Industry Snapshot, Institution, Degree, Grad Year, Overall Grade, Source, Current Status, Source Channel, and Hot Lists.

**Additional columns** available but hidden by default: Match Grade, Prescreen Grade, and Interview Grade.

All AI-assessed columns (Overall Grade, grades, Source, Status) reflect the candidate's most recent job application — not an aggregate across all their applications.

### Candidate detail sidebar

Clicking any candidate row opens a detail sidebar that slides in from the right — the main table stays visible behind it so you can move between candidates without losing context.

The sidebar shows:

* **Interview recordings** — video thumbnails for every AI interview the candidate has completed across all jobs, with grade, integrity flags, and a link to view the recording
* **Application history** — every job workflow the candidate has been part of, with their AI stage and overall grade for each
* **Match signals** — AI-assessed competency signals from their most recent job application
* **Skills** — all skills extracted from the resume and verified through AI Interview
* **Work history and education** — full timeline of roles and degrees, with a link to view the raw resume

From the sidebar you can also **Add to List** or **Add to Workflow** directly for that candidate.

### Lists

Lists are named, persistent collections of candidates that you curate from the Talent Pool. They are a curation tool only, adding a candidate to a list has no effect on their pipeline stage in any job.

**Creating a list**

* Select one or more candidates and click **List** → **Create new list** in the bulk action bar
* Or open a candidate's sidebar and click **List** → **Create new list**
* If you performed a smart search before selecting, the search query is pre-filled as the list title — you can accept, edit, or clear it

**Adding to an existing list**

* Select candidates and click **List** → **Add to existing list** in the bulk action bar
* Or use the **List** button in the candidate sidebar

**List actions**

Once created, lists appear in the sidebar navigation above the filter panel. Hovering over a list name reveals a ⋯ menu with two options:

* **Download list** — exports all candidates on the list to CSV, matching your current visible column configuration
* **Delete list** — removes the list permanently (requires confirmation). Deleting a list does not remove candidates from the Talent Pool or any job workflows.
* **Rename list** — update the name of an existing list at any time

### Adding candidates to a job workflow

Adding a candidate to a workflow is the primary action for moving talent from the pool into an active hiring pipeline. Unlike lists, this is an **irreversible pipeline action.** Once added, candidates enter the Sourced stage of that workflow and AI agents begin evaluating them automatically.

**How to add:**

1. Select one or more candidates in the Talent Pool
2. Click **Add to Workflow** in the bulk action bar (or from the candidate sidebar)
3. Select the target job workflow
4. A confirmation modal shows the number of candidates being added, an irreversibility warning, and an auto-screening notice
5. Click **Confirm & Add** to proceed

Once confirmed, candidates are added to the **Sourced tab** of the selected job workflow and the AI Matching agent begins evaluating them immediately.

When candidates are added to a workflow from the Talent Pool, they can be automatically synced back to your connected ATS. This is not enabled by default. Contact the Senseloaf team to request auto-syncing for your organisation.

### The Sourced Stage

When candidates are added to a workflow from the Talent Pool, they land in the **Candidate Listing** for that job. To view them, select **Sourced** from the stage filter — this scopes the listing to show only candidates who have been added from the Talent Pool, separate from organic applicants.

**Actions available in the Sourced tab:**

* **View report card** — opens the candidate's report card in the context of this specific job, with match signals and profile data relative to the job's requirements
* **Generate outreach email** — generates a personalised email based on the candidate's skills, work history, and the job they've been added to
* **Move to Disqualified** — available from the ⋯ menu if a candidate is clearly unsuitable before AI evaluation begins

Candidates in Sourced cannot be manually moved to other AI stages — they progress through the agents automatically. The only manual pipeline action available is moving to Disqualified.

### Outreach email

Clicking **Generate email** on a candidate in the Sourced tab opens an outreach email modal — a personalised email generated from the candidate's actual background and the specific job they've been added to.

The email is personalised using:

* The candidate's name, skills, and most recent role and company
* The job title and key requirements from the workflow
* Your recruiter name and title from your profile

The email body is fully editable before sending. When you're ready, click **Open via** and select your preferred email client:

* **Default Email App** — opens in your browser's default mail client
* **Gmail** — opens Gmail compose in a new tab with the email pre-composed
* **Outlook** — opens Outlook compose in a new tab with the email pre-composed

You can also click the **copy** icon to copy the email body to your clipboard and paste it into any client manually.
