# Quickstart

This guide walks you through creating your first hiring workflow on Senseloaf — from writing a job description to activating your agents and screening your first candidates.

By the end, you'll have four agents working together to screen, prescreen, interview, and automatically progress candidates through your pipeline:

* AI Matching Agent
* AI Prescreening Agent
* AI Interview Agent
* Hiring Automation Agent

#### **Getting Started**

Once you log in and complete the onboarding process, you'll land on the **Manage Hiring Workflows** page. This is your home base for all hiring workflows.

To get started, click **Create Workflow** in the top-right corner. This launches the assistive setup flow that guides you through each step.

### Step 1 — Define your job role

As you move through the setup, you'll see your **workflow progress on the left side of the screen**, along with the agents enabled during onboarding.

The first thing you'll do is define the role you're hiring for. There are three ways to create your job description:

1. **Write with AI** - Describe the role in plain language and let AI generate the full job description for you.
2. **Paste a job description** - Paste an existing JD into the text field and Senseloaf will parse and structure it automatically.
3. **Upload a job document** - Upload a JD file directly. All formats and languages are supported.

Once the job description is generated, review it and make any edits you need.

When you're satisfied, click **Approve** in the top-right corner to move to the next step.

### Step 2 — Configure the AI Matching Agent

After approving the job, SIA automatically generates a **resume matching and candidate scoring strategy** based on your job description. You don't need to build it from scratch.

From here you can:

* Review the generated strategy criteria
* Chat with the assistant to refine or add new shortlisting criteria

You can add as many criteria as needed to fine-tune your shortlisting. The strategy updates in real time as you refine it through the chat.

Once you're happy with the strategy, click **Approve** to confirm and move on.

### Step 3 — Set up the AI Prescreening Agent

Next, you'll be prompted to configure prescreening. Click **Continue** to begin.

There are five ways to set up your prescreening questions:

* **Quick Start** *(Recommended)* — automatically generates a full prescreening flow from your JD with one click
* **Prebuilt Templates** — ready-to-use, role-specific question sets
* **Select Categories** — choose skills or competencies to assess and generate questions for those areas
* **Generate with AI** — paste your own questions or topics and let AI structure them
* **Upload Sheet** — fill in a sample sheet with your questions and upload it

Once generated, you'll see a **chat-based prescreening flow** with:

* A greeting message
* A set of prescreening questions
* A screening result message (Qualified / Disqualified)

You can add, edit, or remove individual questions, or regenerate the entire flow at any time using the **Regenerate** option.

You can also configure additional settings:

* **Number of attempts** — how many times a candidate can attempt the prescreening
* **Invite email and SMS settings** — customise how candidates are notified

Click **Approve** to confirm the prescreening setup and continue.

### Step 4 — Set up the AI Interview Agent

You'll now be prompted to configure interviews. Click **Continue** to proceed.

On the next screen you'll see AI-generated interview questions based on your job description, with interview settings already pre-configured.

You can chat with the assistant to refine the question set at any time.&#x20;

Through the chat you can:

* Add new questions
* Replace or remove existing ones
* Explore different types of questions (behavioural, situational, technical)

You can also configure interview settings:

* **Number of attempts** — how many times a candidate can attempt the interview
* **Interview invite expiry** — how long candidates have to complete it
* **Invite email content** — customize the invitation message
* **Greeting and concluding messages** — set the tone at the start and end of the interview

Click **Approve** to finalize the interview setup.

### Step 5 — Set up the Hiring Automation Agent

Next, you'll be prompted to configure hiring automation. This is where you define rules that automatically move candidates between stages based on their evaluation results — so the pipeline keeps moving without manual intervention.

SIA will suggest a set of automation rules based on your job role and the agents you've enabled. These give you a ready-made starting point for how candidates should flow through your pipeline.

You can accept the suggested rules as-is, modify them, or build your own from scratch. Each rule follows a simple structure:

* **Trigger** — the event that kicks off the rule (e.g. Resume Matching is completed)
* **Condition** — the grade or score that must be met (e.g. grade ≥ B)
* **Action type** — what kind of action to take (e.g. trigger an agent or move stage)
* **Action value** — the specific outcome to apply (e.g. trigger AI Prescreening)

You can enable or disable individual rules at any time without deleting them — useful when testing or adjusting your pipeline after the workflow goes live.

Once you're happy with your automation rules, click **Approve** to confirm and continue.

#### Step 6 — Review and activate your workflow

You'll now reach the **Final Review screen**. This is where you get a consolidated view of everything you've configured before going live.

**Reviewing your agents**

Each hiring agent appears as a separate section. From here you can:

* Expand a section to review the full configuration
* Click **Edit** to make changes to any agent

**Activating the workflow**

Once you're satisfied with the review:

1. Click **Activate**
2. The workflow moves from **Draft** to **Active**
3. All new candidates entering the workflow will be evaluated using this setup

Activation is a deliberate action — the workflow only goes live after you complete this final review step. Nothing is activated automatically.

#### Step 7 — Start screening candidates

With your workflow active, you're ready to bring in candidates.

1. Click on the workflow to open the **Candidate Listing page**
2. Click **Screen Candidates** in the top-right corner to begin resume screening

After screening, each candidate is assigned a **grade** (A–E) based on how well they match your strategy.&#x20;

If you've set up hiring automation rules, candidates will automatically move through the pipeline from here — no manual action needed. Based on the rules you've configured, qualifying candidates will be progressed to prescreening, then to interviews, and onward — all triggered automatically as each evaluation stage is completed.

If you haven't set up automation rules, you can manually trigger the next stage by clicking **Trigger AI Prescreening Agent** on the Candidate Listing page to send the prescreening link to qualifying candidates.

Throughout the process, SIA handles everything in the background:

* Sends the initial invite email to candidates
* Sends follow-up reminders
* Grades candidates after each evaluation stage
* Generates detailed evaluation reports
* Tracks communication and candidate progress throughout
