# BambooHR — IT Setup Guide

One-time setup steps to connect BambooHR to SIA

This guide is for IT administrators and BambooHR account owners. It covers generating an API key, connecting BambooHR to SIA, and optionally configuring candidate stages for automated syncing.

Once setup is complete, your HR team can start using SIA's hiring intelligence directly from BambooHR — see the BambooHR HR Workflow Guide for what they can do from there.

{% hint style="warning" %}
**Note:** Connecting BambooHR to SIA connects it for your **entire organisation**, not just your account. Disconnecting it later turns it off for everyone — confirm with your team before switching connectors. SIA only keeps one ATS active at a time.
{% endhint %}

### Before you begin

To connect BambooHR to SIA, you'll need to complete two steps — and optionally a third:

1. Generate an API key in BambooHR
2. Connect BambooHR in the SIA Connectors page
3. Configure candidate stages for automated syncing *(optional)*

### Step 1 — Generate an API key in BambooHR

Authentication with BambooHR is done through an API key, generated from your own account settings.

{% hint style="danger" %}
API keys carry **full user permissions** and **never expire** — they're intended for internal integration use. Store the key securely and share it only with your Senseloaf admin.
{% endhint %}

**A. Open your API Keys page**

![BambooHR Admin menu — Profile → API Keys](https://1117388020-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FGO7J9uIHFkn8y0ZeBqYC%2Fuploads%2Fe2hfwPHykM8ywJ3K3IJ0%2Funknown.png?alt=media\&token=8ce2a90d-2b8c-4ed7-ae0f-9ccb031bcfdd)

1. Log in to your BambooHR account
2. Click **My Account** in the bottom-left corner of the sidebar
3. Click **API Keys** from the menu that appears

**B. Start a new key**

![Add New Key](https://1117388020-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FGO7J9uIHFkn8y0ZeBqYC%2Fuploads%2FjIn48MbYgvhZzfs5NyIx%2Funknown.png?alt=media\&token=f6c8b102-e16c-44d5-b33b-fac1e02543c2)

1. On the API Keys page, click **New API Key**
2. A dialog opens confirming that API keys carry full user permissions and never expire

**C. Name and create the key**

![Name and Create the Key](https://1117388020-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FGO7J9uIHFkn8y0ZeBqYC%2Fuploads%2FJnFZK33Ug2Dl4D6XhtXI%2Funknown.png?alt=media\&token=878d5d46-4aaf-4190-bc65-de83299828b4)

1. Enter a descriptive name for the API key — for example, *Senseloaf*. This helps you identify where the key is being used
2. Click **Create Key**

**D. Copy and store the key**

![Copy and Store the Key](https://1117388020-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FGO7J9uIHFkn8y0ZeBqYC%2Fuploads%2FY6D7P7JQP1r4a5HScv95%2Funknown.png?alt=media\&token=00d09922-6a24-4125-a705-a749d94558a2)

1. BambooHR shows a confirmation with your new key and a **Copy Key** button
2. Click **Copy Key** and store it securely, then click **Close**

{% hint style="danger" %}
**Important:** This is the only time the full API key will be visible. You will not be able to retrieve it again later. If you lose it, you'll need to generate a new one. Your key will appear in the **My API Keys** list marked as Enabled.
{% endhint %}

### Step 2 — Configure candidate stages in BambooHR *(optional)*

This step is only needed if you want to enable automated bidirectional sync, where candidate stages in BambooHR update automatically based on their SIA evaluation results at each step of the hiring workflow.

You don't necessarily need to create new stages for this. If you already have stages in BambooHR that correspond to your hiring workflow, those can be mapped directly during Senseloaf onboarding. Only create new stages if your existing ones don't cover the outcomes you need.

{% hint style="danger" %}
Only users with administrative access to hiring settings can perform these steps.
{% endhint %}

**Creating new custom stages**

1. Click the **gear icon** (Settings) in the upper right corner of your BambooHR dashboard
2. Select **Hiring** from the left-hand menu
3. Navigate to the **Candidate Status** section
4. Click **Add Status** or the **+** icon
5. Enter a descriptive name for the stage — for example, *AI Matching – Strong Fit*, *AI Matching – Review*, *AI Prescreening – Qualified*, or *AI Interview – Selected*
6. Optionally link an email template to automatically notify candidates when they reach this stage
7. Drag and drop statuses to match the chronological order of your hiring pipeline
8. Click **Save** to apply

Once the relevant stages exist in BambooHR, they can be mapped to SIA evaluation outcomes during onboarding. Based on a candidate's score at each step — AI Matching, AI Prescreening, and AI Interview — SIA can automatically move them to the corresponding stage.

{% hint style="info" %}
**Note:** Stage names can be customised to match your team's existing naming conventions. What matters is that the stages exist in BambooHR before the mapping is configured in Senseloaf.
{% endhint %}

**Enable automatic syncing**

To enable bidirectional sync between BambooHR and SIA, reach out to the Senseloaf team at <support@senseloaf.com>. The team will configure and enable the required synchronisation for your organisation.

Once automatic syncing is enabled, your BambooHR hiring data will be synchronised with SIA, allowing your team to use SIA's AI-powered hiring capabilities while continuing to manage their hiring workflow in BambooHR.

### Step 3 — Connect BambooHR in SIA

Once you have your BambooHR API key, you can connect BambooHR to SIA.

Connecting BambooHR

**A. Open Connectors in SIA**

1. Log in to your SIA account
2. Click your **Profile icon** in the bottom-left corner
3. Click **Connectors** from the menu
4. On the Connectors page, find **BambooHR** under the ATS section and click **Connect** — this opens the Connect BambooHR pop-up

{% hint style="warning" %}
**Note:** The pop-up includes a "Steps to get your API key" link back to this guide in case you need to refer back to Step 1.
{% endhint %}

**B. Enter your BambooHR credentials**

* **BambooHR API Key** — paste the API key generated in Step 1
* **Subdomain** — enter your BambooHR company subdomain

For example, if your BambooHR URL is `https://senseloaf.bamboohr.com/home`, your subdomain is `senseloaf`

* **API Base URL** *(optional)* — leave this blank unless directed otherwise by the Senseloaf team

**C. Complete the connection**

1. Verify the API key and subdomain are correct
2. Click **Connect**
3. SIA establishes the connection — the BambooHR tile will show as **Connected** with a **Disconnect** option

{% hint style="warning" %}
**Note:** If your organisation already has another ATS connected, the tile will show a **Switch** option instead of Connect — SIA only keeps one ATS active at a time.
{% endhint %}

### What happens once connected

Once BambooHR is connected, SIA begins syncing jobs and candidates automatically — no further setup required from IT. For a full overview of what the HR team can do from here, see the BambooHR HR Workflow Guide.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.senseloaf.ai/integrations/bamboohr-it-setup-guide.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
