# SIA for BambooHR

Senseloaf connects directly with BambooHR, automatically syncing your open jobs and candidate applications so you can run AI-powered matching, prescreening, and interviews without leaving your existing workflow.

### Before you begin&#x20;

To connect Senseloaf with BambooHR, you'll need to complete two one-time setup steps in BambooHR- \
1\. Generate an API key for authentication\
2\. Create the custom hiring stages that Senseloaf will sync with.

#### Step 1 — Generate an API key in BambooHR

One of the first steps in integrating Senseloaf AI with BambooHR, is authentication. BambooHR's APIs relies on API Key.&#x20;

**a. Navigate to API Keys**

* Log in to your BambooHR account
* Go to the **Admin** section from the top navigation menu
* Click on **Profile**
* Select **API Keys**

**b. Add a new API key**

* In the API Keys section, click **Add New Key**
* A form will appear prompting you to enter a name for the key

**c.** **Name and generate the key**

* Enter a descriptive name for the API key, for example, *SenseloafAI*. This helps you identify where the key is being used
* Click **Save** or **Generate** (depending on your BambooHR UI version)
* BambooHR will create and display your new API key

**d. Copy and store the key**

Copy the API key immediately and store it securely. Once you have it, share it with your Senseloaf admin or enter it during the integration setup.

This is the **only time** the full API key will be visible. You will not be able to retrieve it again later. If you lose it, you'll need to generate a new one.

#### Step 2 — Configure Candidate Stages in BambooHR

Senseloaf maps two candidate outcomes, **Shortlisted** and **Disqualified,** to stages in your BambooHR hiring pipeline. You don't necessarily need to create new stages for this, if you already have stages in BambooHR that correspond to these outcomes, those can be mapped directly during your Senseloaf onboarding.\
\
If your existing BambooHR stages don't cover these outcomes, you can create new custom stages-&#x20;

* Click the **gear icon** (Settings) in the upper right corner of your BambooHR dashboard
* Select **Hiring** from the left-hand menu
* Navigate to the **Candidate Status** section
* Click **Add Status** or the **+** icon
* Enter a descriptive name for the stage — for example, *Senseloaf Shortlisted* or *Senseloaf Disqualified*
* Optionally, link an email template to the status so candidates automatically receive a message when they reach this stage
* Drag and drop the statuses to match the chronological order of your hiring pipeline
* Click **Save** to apply

Once the relevant stages exist in BambooHR, whether existing or newly created, they will be mapped to Senseloaf's Shortlisted and Disqualified outcomes during onboarding. From that point, any action taken in Senseloaf automatically moves the candidate to the corresponding stage in BambooHR.

Stage names can be customised to match your team's existing naming conventions. What matters is that the stages exist in BambooHR before the mapping is configured in Senseloaf

### How jobs sync from BambooHR

Senseloaf fetches all your open BambooHR jobs at regular intervals, every 15 minutes. For each job, Senseloaf automatically configures:

* The job details
* A default resume matching strategy
* Workflow activation (if a user is assigned)

You do not need to manually create jobs in Senseloaf. As long as the job is open in BambooHR and a user is assigned, it will activate automatically, whereas jobs for which users are not present in Senseloaf platform gets into Draft stage

#### Using BambooHR application Q\&A as matching criteria

When BambooHR is connected, Senseloaf also pulls in the application questions and candidate answers submitted during the BambooHR application process. You can use these directly as shortlisting criteria in your resume matching strategy.

To add an application question as a criterion, prompt SIA in the matching strategy chat. For example:

*"Include a criteria on this candidate application question — 'Please rate your level of fluency in English'. Possible options are Fluent/Native, Proficient, Intermediate, Beginner."*

SIA will add it as a scored criterion in your matching strategy.

Application Q\&A criteria are only available when BambooHR is connected and the job has application questions configured.

#### Candidate sync and shortlisting

Senseloaf automatically pulls applicants from BambooHR every 15 minutes for all active jobs. Candidates are evaluated against the configured matching strategy and ranked by grade in the Candidate Listing.

Once you shortlist a candidate in Senseloaf, whether manually or through automation, they are automatically moved to the corresponding status in BambooHR. The status mapping is configured during onboarding.
